1. General

Based on Article 13 of the Swiss Federal Constitution and the federal data protection regulations (Data Protection Act, nDSG), every person has the right to protection of their privacy and protection against misuse of their personal data. We comply with these provisions. Personal data is treated strictly confidentially and is neither sold nor disclosed to third parties unless this is necessary for the fulfillment of a contract.

In cooperation with our hosting providers, we endeavor to protect the databases as well as possible from unauthorized access, loss, misuse, or falsification.

2. Hosting and Log Files

Our website and the backend infrastructure of our services are hosted by Hetzner Online GmbH in Germany.

When accessing our websites and using our services, the web servers (e.g., Cloudpanel/Apache/Nginx) automatically record technical information. This data is stored in so-called server log files. The following data may be recorded:

  • IP address (possibly anonymized)
  • Date and time of access
  • Browser type and version
  • Operating system used
  • Referrer URL (the previously visited page)

This data is necessary to ensure the stability and security of the systems (e.g., to defend against DDoS attacks). This data is not merged with other data sources.

3. Handling of Contact Data

When you contact us via the contact form or by email, the information you provide (name, email address, phone number) is stored for the purpose of processing the inquiry and for follow-up questions. We do not share this data without your consent.

4. Privacy Notice for the «Agency Connector» & WordPress Plugins

We offer services and plugins for managing WordPress installations («Agency Connector»).

What data we process:
The Agency Connector transmits technical status information about your WordPress installation to our backend (server location: Germany). This includes:

  • WordPress version & PHP version
  • List of installed plugins and their status
  • Server uptime and status values
  • SMTP configuration parameters (when changed by the admin)

No access to end-customer data:
Our system does not read or store any personal data of your website visitors or end customers (no orders, no user emails, no comments). We do not use remote login functions to access your dashboard. Access is limited to technical maintenance tasks (triggering updates, checking status).

5. Privacy Policy for the Instagram Feed Integration (Meta App)

Our plugin offers a function to display an Instagram feed on your website. For this purpose, we use the official API of Meta (Facebook/Instagram).

Purpose of data processing:
The connection serves exclusively to retrieve the images from your Instagram account and display them on your website (in the frontend widget).

Data processed:

  • Access Token: To maintain the connection, we store an authentication token (access token) encrypted in our backend.
  • Public Media: We retrieve exclusively public images from your Instagram feed.
  • Exclusion: We do not retrieve private messages, insights (statistics), story views, or videos and captions that are not necessary for displaying the image feed.

Data Deletion Instructions:
You can disconnect from our service at any time and request the deletion of the stored tokens. This is possible in two ways:

  • In the plugin: Click the «Disconnect» button in the plugin settings in your WordPress backend. This automatically triggers the removal of the token and stops the data retrieval.
  • By email: Send an email to info@swissware-it.ch requesting the deletion of the Instagram connection. We will manually remove the connection and all associated tokens from our system promptly.

6. External Services & Resources

Google Fonts
We embed fonts («Google Fonts») from the provider Google Ireland Limited (Ireland) or Google LLC (USA) on our website. When loading the fonts, your IP address is transmitted to a Google server (usually in the USA). This serves the uniform and appealing presentation of our online services.

Payment Processing
Payments are made exclusively by invoice/bank transfer. We store your invoice data in accordance with the statutory retention obligations (accounting). No payment processing via online payment service providers (such as PayPal or Stripe) takes place on our website.

7. Your Rights

You have the right to receive information about your personal data stored by us at any time. You also have the right to rectification, blocking, or deletion of this data (unless there is a statutory retention obligation). Please contact us at: info@swissware-it.ch
